Many SMEs waste valuable time every day dealing with recurring customer inquiries: appointment requests, pricing questions, initial consultations – the content is similar, but the responses are manually rewritten each time. As the volume of inquiries increases, response times suffer, and the tone of the replies varies depending on the person handling them.
DigitalArk developed the AI Mail Assistant to address this: an AI solution that analyzes incoming customer emails directly in Gmail and automatically prepares a suitable draft response. The team reviews, adjusts as needed, and sends – no automated sending, no system changes required.
Project
The AI email assistant was designed as a seamless process within Gmail, requiring no additional software or system changes. Incoming emails are automatically filtered to exclude newsletters and no-reply messages. Relevant customer inquiries are then analyzed linguistically and in terms of content, processed based on company-specific rules, and saved directly in Gmail as a ready-to-use draft response.
A key element of the implementation was quality assurance: The AI was configured to prevent the creation of unknown prices, deadlines, or commitments—if information is missing, a follow-up question is generated instead. Furthermore, responses are automatically prepared in the language of the incoming message, making the solution suitable for multilingual customer communication.
Challenges & Solutions
Analysis & Concept:
The challenge was to develop an AI solution that would noticeably save time without relinquishing control over customer communication. DigitalArk therefore deliberately focused on a design principle rather than automated sending: The AI prepares the information, but the final decision remains with a human.
Implementation & Results:
The result is a process that runs entirely within the familiar Gmail inbox. Customer inquiries are answered faster, the tone remains consistent regardless of the sender, and employees no longer have to rewrite responses from scratch.
